Web based Institute Complain Management System

Abstract This paper presents a web-based Complaint Management System designed for institutional maintenance in colleges and sim-ilar organizations. The system enables faculty members to report maintenance issues, administrators to assign workers and track progress, and maintenance workers to update job status throughout the repair lifecycle. A key differentiator is the dual-confirmation workflow: both the assigned worker and the reporting faculty member must independently confirm task completion before a complaint is closed. The system is built using Next.js 15 for the frontend and API layer, MongoDB as the database, and NextAuth.js for authentication with role-based access control. Deployment is handled through Vercel with MongoDB Atlas. This paper covers the system’s motivation, architecture, database design, authentication mechanism, implementation details, API structure, security considerations, and directions for future enhancement.
